Technology planning · Five starting points

A better brief starts
with better questions.

Use these editorial checklists to prepare a supplier conversation. They are discussion prompts; the supplier and venue must confirm the specifications and suitability of the proposed installation.

01 / PLANNING CHECKLIST

Projection mapping

Prepare a conversation about turning a physical surface into a visual experience.

  • Which surfaces can be used, and who approves access and mounting?
  • What lighting conditions will the supplier test at the actual event time?
  • Who owns content creation, alignment, playback and on-site operation?
  • How will weather, audience sightlines and equipment access be handled?
  • What is the rehearsal schedule and fallback if playback fails?

02 / PLANNING CHECKLIST

Augmented reality

Define how people will discover, open and use the experience on their devices.

  • Will visitors use their own phones, supplied devices, a browser or an app?
  • Which devices and browsers will be tested, including older models?
  • What permissions, connectivity and onboarding steps are required?
  • What is the experience for someone whose device is unsupported?
  • What analytics are collected, with what consent and retention?

03 / PLANNING CHECKLIST

Interactive LED

Discuss the display, physical setup and the interaction as one delivered experience.

  • Is this a wall, floor or another installation, and who signs off its structural suitability?
  • What space, power, access and installation time does the proposed system require?
  • What triggers the response, and how will it be tested with multiple visitors?
  • Who handles content, calibration and technical support during opening hours?
  • What is the safe fallback if a display or input component fails?

04 / PLANNING CHECKLIST

Motion tracking

Define the participant journey and the conditions in which tracking must work.

  • How many participants must the specific system support at once?
  • What tracking area, lighting and camera positions will be tested?
  • How will queues, spectators and accidental inputs be managed?
  • How can visitors with different mobility needs participate?
  • Are images or movement data stored, and who controls them?

05 / PLANNING CHECKLIST

Interactive kiosks

Plan the content, visitor flow and support behind a self-service interaction.

  • What should a visitor achieve, and how long is a complete interaction expected to take?
  • Which languages and accessibility options are needed?
  • What happens when connectivity or a connected service is unavailable?
  • Who owns cleaning, device management, charging and on-site assistance?
  • How will personal data, consent, session resets and deletion be handled?
